We are a quiet village in the countryside. The Elms has neighbours so please respect them by keeping the noise levels outside down after 10pm. If you return home later than 10pm please enter quietly. Shillingford is a lovely village, we expect our guests to follow good social behaviour, not to upset the peace and to follow these guidelines during your stay.
When booking, you are entering a binding contract with The Elms Holiday Home, which is subject to these terms and conditions. References to 'us' and 'ours' refer to The Elms and 'you', 'yours' 'party' or 'guests' relate to the person making the booking plus all members of the holiday party. It is your responsibility to make all other guests aware of our T&C's and house rules.
Suitability
Please satisfy yourself that the property is suitable for your needs, tell us at the time of booking of any special needs and requirements. We will respond to it to the best of our ability. We cannot guarantee any special requests will be met.

Complaints
Your holiday enjoyment is very important to us and we work hard to ensure it. You are responsible for telling us of a problem, and giving us the opportunity to put things right. Complaints should be reported immediately. Complaints made on departure or subsequently cannot be entertained, and no liability accepted nor refunds due.
Booking
Prices are in UK pounds sterling. Non refundable deposit of 20% of the cost of your stay is required to secure the booking. If the booking is less than 4 weeks from the start date of your holiday, payment in full is required. Payments can be made by debit card, credit card or BACS.
Expect to receive confirmation of booking within 48hrs if you don't receive please notify us as soon as possible.
A damages deposit of £500 is paid alongside the balance. This will be paid back in full and within 72hrs after departure, and once the property has been checked. Please note that the damages deposit will be paid back onto the same means as which we were paid, and this might take up to a further 10 working days to clear. If you wish to be paid quicker, please send us your bank details so that we can arrange any money due to be paid as a bank transfer. We reserve the rights to withhold any money if we feel damages are above normal wear and tear.
If the balance and damages deposit are not paid by the due date The Elms reserves the rights to re-let the property and retain the 20% non refundable deposit.
We only except bookings from persons over 18. We reserve the right, at all times, without statement of reason, to refuse or cancel a booking.
The prices on the website are subject to change. At the time of booking you will be informed of the correct price. The price stated on the confirmation is binding.
Arrival
Self check-in from 4PM. Relevant information will be sent to you on your arrival date. However if you wish to be welcomed in person upon arrival, please let us know in advance and we will happily greet you.
Departure
Guests are requested to vacate The Elms by 10Am on the date of departure. Please respect these timings as cleaners need this change over period in order to properly prepare the house for it's next guests.
Cancelations
We understand that plans can change. If you cancel your booking before 4 weeks of your arrival date we will refund you, less your deposit.
We recommend you have appropriate holiday insurance.
Cancelations and changes by us
We will do our best to ensure there are no changes to your booking. We undertake to inform you promptly if any have to be made. In the unlikely event we have to cancel your stay, we will refund all monies paid but will have no further liability or obligation.
Group bookings
We reserve the right to refuse bookings if we feel they may be detrimental to The Elms Holiday Home.
Visitors
No visitors allowed unless previously arranged and agreed prior to your stay. Only guests staying at The Elms are allowed in the property, this includes the Orchard area. You must not exceed the number of guests stated. We may deny you access or ask you to leave before the end of your holiday. You will not be entitled to a refund or any compensation.
Smokers this includes e-cigarettes/vaping. Illegal drugs.
We have a strict no smoking policy inside the property. We provide a smoking area on the front garden only, and ash tray is provided. If we see evidence that someone has smoked inside the house, we reserve the rights to withhold the damages deposit to cover losses should we need to undergo a deep clean.
No carrying and/or using illegal drugs of any kind.
WIFI
In the rare event of loss of WIFI we cannot be held responsible for interruptions and as such will not offer compensation should this occur during your stay.
Pets
We are a pet free Holiday Home. No pets allowed under any circumstances.
Breakages/damages
Please leave The Elms clean and tidy, excessive cleaning will be charged for. Please keep all furniture, fittings and effects both inside and outside the property in the same state of repair and condition as the start of your holiday. Let us know if anything gets broken, so we can replace it for our next guests. We will only debit the damages deposit for replacements in exceptional circumstances, as we expect a degree of wear and tear. If damage is directly attributable to the guest, then we reserve the rights to take payment from the damages deposit. We are not unreasonable.
Assumption of Risk
Whilst we take great care to keep you safe, accidents can happen, and we are not held responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise children. If you notice any equipment looking faulty and/or unsafe you must inform us as soon as possible. We advice that you have valid insurance in place that will provide suitable cover for accidents, illness, bereavement, transport difficulties as well as extreme weather conditions, and risk of your stay being cut short or cancelled.
Responsibility
By booking you are agreeing to be responsible for yourself, your guests and any children. Take all reasonable precautions against personal injury, injury to others and damage to facilities. Children must be supervised at all times.
We accept no liability for theft, lose of damage to your personal property that may arise from your stay with us. Use hot tub, BBQ, play area and facilities within The Elms at your own risk. The owners take no responsibility for accidents, injuries or untoward events.
Guest behaviour
The guest have the right to occupy the property for the paid for holiday period only (within the meaning of schedule 1 paragraph 9 of the housing act 1988)..
Guests undertake to behave in a proper, appropriate manner with due respect to the owner, the property and village. We ask you to behave considerately to others. Being inconsiderate, offensive or rude to others cannot be tolerated. If any guest behaves inappropriately or improperly (of which the owners will be the final judge on their property), or illegally, the owners reserves the rights to ask the guest and their party to leave before the end of their holiday period. Any refund for so doing will be at the entire discretion of the owners. In addition the owners reserves the rights to sue the guest for any loss, damage or injury caused to the owners or the property.
Breach of conditions
If there are breaches of house rules or conditions by the guest or any of the party the owners reserve the rights to enter the property and ask the guests and their party to leave immediately without refund of money.
Authority to sign
The person who pays for the booking certifies that.
Over 18 years of age.
Agree to take responsibility for the party.
Agree to the rules and terms and conditions.
Notify the owners if they are not a member of the holiday party staying.
Booking is not transferable to other dates or guests.
Website accuracy
We work hard to ensure the accuracy of our information. We accept no liability for changes or for changes to amenities and local activities, including those listed in our literature. If distances are stated these are approximate.
Access
We the owners or anyone representing us have the rights to enter our property at any reasonable time during your stay.
Parking
Please park your cars on the stone chipped area. Do not park on the grass or on our back patio.
Cars are parked at owners own risk.
No car charging facilities are available.
Personal details
We need your correct personal details (inc mobile number and email address) when making a booking so that we can communicate with you about your stay. We may use cookies on our website and store your IP address in order to analyse the usage trends of our website.
We take all reasonable steps to ensure the security of your personal data. We do not handle financial details ourselves, entrusting this to the bank. We will not sell your details to a third party. We may automatically add you to our mailing list for occasional mailings unless you specify otherwise.
Force Majeure, Bad Weather and Illness
The owners will not be held liable if our agreement is cancelled or cut short due to bad weather, illness, force majeure, including threat of war, staff strikes, blockades, fire, floods, storms, health pandemics and other acts of God that occur outside of the owners control. Guests are strongly advised to take out travel insurance to ensure they have necessary cover in place.
In the rare event of a power cut we will do all we can to provide resources. We can not be held responsible for interruptions to the National Grid Network.
Hot tub
We would like to continue to offer the luxury of a hot tub for all our guests to enjoy, and ask that everyone respects the guidelines found next to the hot tub or in our guest manual. We will make every effort to maintain the hot tub accordingly. During your stay we will check the hot tub on a daily basis normally in the morning, this shouldn't disturb you. We don't wish to disturb your evenings so we kindly ask guests to put bromine into the hot tub last thing, and will give very clear instructions on check-in your responsibilities of maintenance (please let us know if you are not able to do this so that we can come down).
The hot tub is only suitable for 6 guests at a time. Any misuse of the hot tub causing damage will be taken out of the damages deposit.
The hot tub will be emptied, cleaned and refilled. Unfortunately, due to very occasionally having a quick turn around this may mean that the optimum temperature will not be reached on the day you arrive, and we apologise in advance should this happen.
You use the hot tub at your own risk and we will not be held responsible.
Toiletries or products provided
If you have allergies or sensitivities The Elms cannot be held accountable if you choose to use the products provided. All guests use products at their own risk.
Orchard/play area
Whilst The Elms has made every effort to ensure the play area is safe and maintained. It’s solely the responsibility of you, the guest, to ensure your safety and wellbeing is always fulfilled.
The Management/The Elms Holiday Home cannot be held responsible for any injury occurred, howsoever caused.
Personal devices
Please ensure that any personal devices brought into The Elms, for example, phones, laptops and iPads are in good condition. That cables are not frayed or damaged. Ensure they aren’t left plugged in, unattended.
